June 2020 Monthly CAP Meeting

    • Brian called to order at 1:15
  2. Guest Speaker: August Scheiss, Social Media Director, Public Affairs
    • Provided an overview of campus-based social media account guidelines being proposed for campus.

  4. Review and Approval of Minutes –
    • Because of the stay at home order, CAP has not approved minutes for February, March, or April. We are now able approve and elected to approve the minutes all at one time. Rich Gegg motioned to approve. Ann Jones seconded approval. No corrections were requested. Unanimously approved.

    • Welcome and thank you. We have better attendance virtually than we have at in person meetings.

      1. Planning to develop a web portal for complaints or recommendations for TEM, source to pay, and other campus operations.
        • Will send an email with request for comments on the portal.

    • Senate Executive Committee (SEC): Brian Brauer & Brent West
      1. The committee is working to stay informed about return to campus committee activities. The committee also notes the difficulty of communicating and decision-making quickly campus-wide. Our campus is used to operating at the unit level.

    • AP Development Fund
      1. Spending has been curtailed because we are not traveling at this time.
    • Campus, and University Committees
      1. Special Events Advisory Committee (Brian)
        1. Continue to develop a single point of contact for all users who need space. Because we will have the same number of classes, but with a lower student count, the committee will prioritize classes over ancillary functions.
      2. Public Safety Advisory Committee (Brian)
        1. The Emergency Operations Center is managing a lot of return to work unit level questions and reviewed and approved unit level plans. Campus is trying to make sure that not everyone returns once and that people with health or childcare issues are able to have flexibility.
        2. Campus is hosting county level emergency management operations because of construction at the county building. This is a change of scope for the University.
      3. Joint Advisory Committee on Investment, Licensing, and Naming Rights (Vacant)
        1. The chancellor has requested a second nomination. An email will come out soon soliciting for that position.
      4. University Professional Personnel Advisory Committee (Brian)
        1. Will meet June 24. Will report out on benchmarking group.
      5. Engagement committee:
        1. There has been an uptick in attendance at most public meetings. Campus would like to continue to encourage engagement. A survey for suggestions is forthcoming.
      6. CAPE Awards Committee (Rich)
        1. The Chancellor is open to suggestions for an alternative celebration for 2020 awardees. CAP should discuss how best to recognize this cohort, especially if it is next year before we can gather in large groups.
          • Rich will send out an email to solicit ideas.
      7. Procedures and Elections Committee (Brent)

          1. District 1: No nomination to replace Rich Gegg
          2. District 2: Allie Arp was elected
          3. District 3: Tasha Robles will replace Maggie Jarvis
          4. District 5: Suzanna Palaska-Nicholson was elected
          5. District 6: Doug Gucker will replace Carl Baker
          6. District 7: Nicole DelMastro-Jeffery was elected
          7. District 8: Brian Brauer and Crystal Zulauf were elected
          8. District 9: Will Schlaack was reelected
          9. District 10: Chaya Sandler will replace Nancy Walsh
          10. District 11: Jeff Stein was reelected
        2. Senate Elections

        1. Nothing to report
      10. Outreach Committee (Allie)
        1. Next month Michelle Marquart from Illinois Conferences and Event Services will be our speaker
        2. Send thoughts for future speakers to Allie
        3. We will keep our August meeting open so we can find the right speaker to discuss fall plans

      12. Ad Hoc Committee on Bylaws (Mindy)
        1. Meeting next week
        2. Looking for a new chair for this group
      13. Ad Hoc Committee on Harassment (Mindy)
        1. Committee has not met.
  10. Academic Human Resources Report Senior Associate Chancellor for Human Resources
    1. Guidelines on return to work are under evoloving. When people return to the office, they will be required to wear a mask and social distance. Departments are sending out unit specific guidance. HR is considering issues such as non-compliance or concerns about personal safety. Questions about departmental decision on remote work policies and other concerns that arise are being discussed with the goal of a clear guidance document in the next few weeks. CAP members are invited to comment on issue we see.
    2. The Chancellor suggested that an early retirement program may be considered. At this time there is no program.
    3. The hiring freeze does not extend to student employees. Departments will make decisions on student hires base on funds and need.

      1. Thanks to Rich Gegg for soliciting nominations for officer position
      2. Webtools survey was sent out to CAP members to vote on officers. Results will be announced in the future.
